Job title: Assurance Team Coordinator Department: Assurance – Initial Accommodation and Large Sites Reporting to: Head of Large Sites Assurance Location: Remote with occasional travel to South England (London, East London, West London) and Wales Contract type: Permanent Hours of work: 40 hours p/w (Mon - Friday, 8:30am - 5pm) Salary: £26,000.00 - £33,000.00 per annum The coordinator is a key administrative and operational support role, responsible for the smooth delivery of assurance objectives and tasks, managing stakeholder engagement, handling assurance queries, and supporting the team with reporting on assurance and compliance tasks. This role is central to coordinating communications with internal teams, stakeholders to the contract including external delivery partners and Home Office teams as required. Candidates will need to demonstrate advanced IT proficiency, with the ability to extract and analyse data from internal systems such as IA Trans, CCMS, producing regular and ad hoc reports to support operational performance, audits, and compliance monitoring. Procedures

  • Provide day-to-day administrative coordination and support across all assurance teams.
  • Extract and produce reports from IA Trans, Athens and CCMS systems to support audits, inspections, and contract meetings and KPI discussions.
  • Identify, highlight support the teams in implementing new processes and reporting formats (e.g. reports to HOD and Director).
  • Monitor and maintain team risk and issues log to ensure up to date capture of issues, mitigation and resolutions.
  • Liaise closely with team members to monitor and maintain team dashboard of assurance actions and recommendations and provide daily and weekly reports of outstanding tasks, recommendations and actions as required.
  • Attend and document contract management actions ensuring accurate action logs are maintained and shared promptly.
  • Monitor digital and manual records including, the team’s inbox, registers, welfare check reports, outstanding team actions, and other operational or assurance data sources and highlight outstanding actions and support the team to resolve them.
  • Update internal systems as directed by line manager to support teams
  • Support the team and senior managers with insights, updates, and briefings

  • Work closely with your line manager, team members and other teams
  • Collaborate with others, attending meetings as required
  • Support team members and provide on-the-job training
  • Provide cover for other staff as agreed by line manager
  • Report on and advise Senior Managers of team development needs
  • Work together to identify improvements in processes and management information

  • Ensure all records are maintained and kept up-to-date according to company policies and procedures
