Overview

The Executive Assistant serves as a trusted partner to executive leadership, providing high-level operational, administrative, and strategic support in a fast-paced commercial real estate environment. This role is ideal for a proactive, resourceful professional who excels at managing complex workflows, anticipating needs, and creating structure that enables executive effectiveness. Acting as a central point of coordination, the Executive Assistant strengthens business operations, leads cross-functional initiatives, manages communication and relationships, and ensures that executive priorities are executed with accuracy, confidentiality, and professionalism. This is a unique opportunity to work closely with an entrepreneurial executive while influencing key initiatives across multiple ventures and markets.

Location: Remote

Work Schedule: 30-40 hours per week

Reports to: Managing Principal

Key ResponsibilitiesExecutive Operations & Strategic Support:

·       Provide direct, confidential support to the Managing Principal to ensure seamless day-to-day operations.

·       Manage complex calendars, meeting logistics, deadlines, and communication streams while protecting executive time.

·       Serve as the executive’s primary liaison—prioritizing inbound requests, coordinating responses, and maintaining alignment across stakeholders.

·       Prepare agendas, briefing materials, presentations, and follow-up summaries to support clear decision-making.

·       Anticipate needs, identify operational gaps, and recommend process improvements that enhance executive efficiency.

Project & Initiative Management:

·       Lead and support cross-functional projects connected to real estate development, operations, and executive initiatives.

·       Track timelines, deliverables, KPIs, and progress against strategic priorities; ensure accountability across teams.

·       Conduct research and assist in preparing reports, analyses, and confidential documents that inform executive decisions.

·       Evaluate administrative systems and implement improved workflows that strengthen organization and communication.

Communication & Relationship Coordination:

·       Draft and manage executive-level correspondence with clarity, precision, and appropriate tone.

·       Act as a key point of contact for internal leadership, board members, investors, clients, and external partners.

·       Maintain proactive communication between departments, ensuring alignment and timely follow-through on initiatives.

·       Build strong, professional relationships that reinforce the executive’s visibility and support across ventures.

Travel, Logistics & Administrative Support:

·       Coordinate comprehensive domestic travel, including flights, lodging, itineraries, and event alignment.

·       Provide real-time support while the executive is traveling, adjusting priorities and communications as needed.

·       Maintain organized executive files, digital records, contracts, and operational systems.

·       Support inbox oversight, expense reporting, vendor coordination, and additional administrative needs essential to business operations.

QualificationsEducation & Experience

·       Bachelor’s degree in Business Administration, Communications, or a related field preferred.

·       5–7+ years of experience supporting senior executives; commercial real estate, development, or entrepreneurial environments preferred.

·       Demonstrated experience managing complex projects, workflows, and confidential information.

·       Experience providing remote support with shifting priorities and high responsiveness.

·       Legal/paralegal exposure is a plus.

·       Exceptional organizational, time management, and project coordination skills.

·       Outstanding written and verbal communication, including drafting polished executive correspondence.

·       High emotional intelligence, sound judgment, and the ability to navigate sensitive matters with discretion.

·       Thrives in dynamic, fast-changing environments and brings thoughtful structure to evolving priorities.

·       Ability to work autonomously, anticipate needs, and pivot quickly in a dynamic environment.

·       Strong proficiency in Microsoft Office, Google Workspace, and project management tools.
