Document Specialist
Remote | Forensic Accounting ~ Family Law

Our client is a forensic accounting firm specializing in family law, with a focus on high-net-worth and complex marital dissolution matters. In this work, clients send large volumes of financial and legal records.
We are seeking a Document Specialist who is organized, time-efficient, accurate and computer-savvy to take ownership of document intake so forensic accountants can focus on the work. This role supports a paralegal-style workflow and also includes scheduling and coordination support.
What You'll Do
Document Management
- Review incoming records, identify what they are, and rename them accordingly
- File documents into electronic client folders in our document management system
- Split and prepare PDFs using Adobe Acrobat Pro
- Date stamp documents using a Bates stamping tool
- Keep electronic folders organized, clean and consistent
Scheduling & Coordination
- Schedule appointments and set up Zoom, Microsoft Teams and conference calls
- Communicate with attorneys and clients, primarily by email and occasionally by phone
- Provide backup support to the Director of Client Experience with administrative functions as needed
How Your Time Is Spent
The balance between document work and scheduling changes day to day based on the firm's needs. A typical split might be around 60% document work and 40% scheduling, but this varies, so flexibility is key.
What We're Looking For
- A highly organized, detail-oriented and meticulous individual; accuracy matters as much as speed
- Excellent computer skills, including strong working knowledge of Microsoft Word, Outlook and Adobe Acrobat Pro (including splitting large PDFs)
- Experience scheduling appointments and conference calls
- Clear, professional written communication, with comfort handling phone calls when needed
- Familiarity with common legal and financial document types (bank statements, tax returns, credit cards, real estate documents)
- Prior experience with a document management system; we currently use Egnyte, which is similar to SharePoint
- Familiarity with Dropbox
- Experience working in a law office, or with Bates stamping, Clio, QuickBooks, or a notary credential, is a plus
- A flexible attitude, a willingness to help, genuine care for the work, and the drive to get faster with repetition
