
Administrative & HR Operations Coordinator (Remote, Flexible Schedule)

We are looking for a proactive and organized colleague to support our internal operations, manage communication with external collaborators, and handle day-to-day HR administration and documentation. This is a fully remote, non-technical role, ideal for someone who enjoys structure, clear responsibilities, and interacting with people in a friendly, professional way.
Responsibilities:
- End-to-end administrative coordination of external contractors (onboarding, contracts, benefits, etc.).
- Scheduling interviews in Google Meet/Calendar (non-technical screenings included).
- Drafting and updating job posts, candidate notes, basic reports, and presentations.
- Managing benefits: meal card enrollment, medical subscriptions, occupational medicine.
- Answering email inquiries (candidates, partners, service providers) in a timely and friendly manner.
- Completing HR-related forms, tracking document deadlines, and assisting with internal processes.
- Occasionally managing job-related social media updates (e.g. LinkedIn posts, company page maintenance)
- Using ChatGPT or other AI tools to generate clear and professional texts, descriptions, and templates.
Requirements:
- Prior experience (minimum 1 year) in HR administration, office coordination, or similar roles.
- Excellent written and spoken English (daily communication will be in English).
- Strong organizational skills and attention to detail.
- Friendly and professional communication style, especially when dealing with candidates or clients.
- Familiarity with Google Workspace (Docs, Sheets, Gmail, Calendar, etc.).
- Willingness to follow up promptly.
Nice to have:
- Background in HR, law, or administrative studies.
- Experience drafting documents, presentations, or internal procedures.
- Knowledge of an additional language (e.g. French, German, Arabic) is a bonus.
What we offer:
- Net salary: 6000 RON
or
Net 5500 RON + meal tickets worth 800 RON (total 6300 RON), your choice.
- Full-time employment (permanent contract).
- 100% remote, anywhere in European Union.

- Flexible schedule: either a fixed 10:00–18:00 program, or fully flexible 40 hours/week — as long as you're responsive and prompt with tasks and emails when needed.
