Position: National Operations CoordinatorReporting to: VP – National Business Group

Purpose of the Role

This is a coordinator-level position focused on administrative execution and support across national compliance, facilities operations, and partner program coordination. The role is intended to provide leadership leverage by taking on the day-to-day administrative coordination, documentation management, and follow-through required to keep these operational areas moving efficiently.

The coordinator supports systems and processes established by management — they do not design or own those frameworks.

Core Responsibilities (Support Role)1. Compliance Administration Support

  • Collect and organize existing compliance documents (licenses, registrations, tax IDs, bonds, etc.).
  • Verify document status (active vs expired) and flag issues for management review.
  • Maintain organized digital filing systems using established naming conventions and structure.
  • Assist with submitting applications, renewals, and updates via state portals.
  • Track expiration dates and upcoming renewal deadlines.
  • Maintain accurate records and follow-up on required documentation.

2. Data Entry & System Maintenance

  • Enter and maintain compliance-related data within Salesforce.
  • Upload and organize supporting documentation.
  • Maintain accuracy of due dates, renewal dates, and status fields.
  • Support leadership by preparing and pulling data as requested.

3. Facilities Administrative Support

  • Maintain lease, contract, and facilities documentation.
  • Track key dates such as lease renewals and notice periods.
  • Assist with NNN documentation and administrative follow-up.
  • Maintain utility and vendor account information.
  • Support administrative onboarding for new facilities.

4. Internal Facilities Project Coordination (Administrative Support)

  • Support leadership on internal facilities projects by tracking tasks, timelines, and documentation.
  • Coordinate vendor paperwork and project-related documentation.
  • Maintain project trackers and communicate status updates.
  • Ensure related compliance documentation is organized and updated as directed.

5. Partner Program Administrative Support

  • Support administrative coordination of subcontractor and partner onboarding.
  • Assist with collection, tracking, and organization of partner onboarding documentation.
  • Manage administrative communication and paperwork flow between partners and internal stakeholders.
  • Enter and maintain partner-related data within Salesforce.
  • Support onboarding workflows by ensuring required documentation and records are complete and up to date.

Role Positioning

This role is intentionally positioned as a strong coordinator focused on execution, organization, and administrative follow-through across compliance, facilities, and partner administration.

Management responsibilities — including establishing systems, defining processes, creating dashboards, or setting governance standards — remain with leadership. The coordinator’s role is to execute within those structures and help maintain consistency and discipline day to day.
