About The Role We are seeking a highly organized and proactive Administrative Assistant to support our multiple locations in Philadelphia, PA. This remote position plays a vital role in ensuring smooth operational workflows across our clinical and administrative teams. The successful candidate will handle a variety of administrative tasks, including communication management, patient data tracking, report generation, and logistical coordination to facilitate efficient healthcare delivery. The role requires excellent communication skills, attention to detail, and the ability to multitask effectively across different computer systems and platforms. The Administrative Assistant will serve as a key point of contact for internal teams, hospital referral sources, and external vendors. Responsibilities include managing phone calls and emails, preparing and distributing reports, maintaining patient logs, assisting with referral entries, and coordinating maintenance or supply orders. This position offers the flexibility of working from home, provided the candidate has reliable internet access and transportation when required for site visits. - High School diploma or equivalent
- Healthcare experience preferred
- Excellent communication and customer service skills
- Strong critical thinking abilities
- Proficiency in multitasking across multiple computer systems
- Valid driver’s license and reliable transportation (when necessary)
- Reliable internet connection for remote work
- Experience with Microsoft Office Suite (Word, Excel, OneNote)
Responsibilities
- Answer and transfer incoming phone calls to appropriate parties
- Respond promptly to emails from clinical teams, scheduling, and hospital referral sources
- Print, organize, and send reports to the Home Care Coordinator team
- Track patient information, perform data entry, and maintain documentation in EPIC
- Assist with orthopedic patient logs, referral entries, and email communications
- Notify building management of any maintenance or facility needs
- Order and manage office supplies to ensure operational efficiency
- Support management with generating reports and tracking physician orders
