About the role
Astar Media is recruiting a Programme Coordinator to support the delivery of multiple national screen and creative programmes, working with trainees, production partners and stakeholders across Scotland.
This role will work across a portfolio of projects, including Opening Shot, a new national screen-sector initiative, and elements of FilmG, supporting delivery at different stages of each programme.
This is a key role within a high-profile set of projects, supporting the coordination of paid opportunities, recruitment processes, events and ongoing day-to-day delivery.
You will work closely with a small senior team, helping ensure programmes run smoothly day-to-day - from managing logistics and communications through to maintaining accurate records and supporting reporting.
This role would suit someone highly organised, reliable, and comfortable working across multiple priorities in a fast-moving environment.
About Astar Media
Astar Media is a projects and media agency delivering national programmes across Scotland. Our work spans the screen sector, public engagement and cultural projects, including FilmG and Opening Shot, Screen Scotland’s Talent Builder initiative.
We operate as a small, experienced team working remotely across Scotland, with staff based in Stornoway, Inverness and the Central Belt. Our work regularly involves travel to projects, partners and events across the country.
We deliver complex projects with a focus on clarity, efficiency and high-quality outcomes.
Key Responsibilities
Programme Coordination (across multiple projects)
- Coordinate day-to-day delivery across Astar’s portfolio of programmes, including screen and creative initiatives
- Maintain programme trackers (participants, placements, activity, budgets and key milestones)
- Support scheduling, logistics and communications across different projects and timelines
Recruitment & Participant Management
- Manage application processes, inboxes and communications across multiple programmes
- Coordinate shortlisting and interview logistics
- Support onboarding processes and documentation for participants
Delivery & Events Support
- Support the delivery of placements, workshops, events and programme activity
- Coordinate logistics for programme delivery, including travel, venues and scheduling where required
- Maintain regular communication with participants, freelancers and partners
Administration & Reporting
- Maintain accurate and well-organised records across all projects
- Support expense processing and internal budget tracking
- Assist with evidence gathering and reporting requirements across programmes
Stakeholder & Partner Support
- Support communication with external partners including freelancers, production companies and stakeholders
- Ensure a professional and responsive experience across all programme interactions
General
- Provide support across Astar’s wider project work as required
- Support on posting social media content across projects
- Contribute to a well-organised, efficient and professional working environment
Person Specification
Essential
- Strong organisational and coordination skills
- Ability to manage multiple tasks and timelines simultaneously
- Clear and professional communication skills
- High level of attention to detail
- Ability to work independently within a small team
- Good working knowledge of Microsoft Office or similar tools
Desirable
- Experience in film, TV or the creative industries
- Experience supporting projects, programmes or events
- Understanding of production environments
- Experience working with freelancers or external partners
- Gaelic language skills
- Full driving license and access to a vehicle
