The successful candidate will be involved in the administration of trust structures and companies, overseeing governance matters, regulatory compliance and client transactions. There will also be opportunities to contribute to the development of internal processes and procedures, improve service delivery and support the business in maintaining robust risk management and compliance standards.

Key Responsibilities

  • Manage the day-to-day administration of a portfolio of trust structures, ensuring adherence to internal procedures and relevant regulatory requirements.
  • Examine trust deeds and associated documentation, identifying legal, tax, investment and administrative considerations.
  • Maintain accurate and current beneficiary records, taking account of changing circumstances and requirements when supporting trustee duties.
  • Oversee the accurate recording of transactions and ensure statutory registers and client records remain up to date.
  • Coordinate trustee meetings, prepare agendas and resolutions, draft minutes and monitor the completion of agreed actions.
  • Manage routine statutory filings and submissions to relevant registries and regulatory authorities.
  • Work closely with external legal and tax advisers, accountants, investment managers, banks and other professional contacts.
  • Handle client correspondence and queries independently, providing a responsive and professional service.
  • Obtain, review and update client due diligence documentation, ensuring compliance with AML, counter-terrorist financing, sanctions and wider regulatory obligations.
  • Monitor operational and compliance risks, identify potential issues and escalate concerns to senior management where necessary.
  • Identify opportunities to enhance operational efficiency, strengthen internal controls and improve the overall client experience.

Candidate Profile

  • A minimum of three years' experience in trust administration, fiduciary services and/or corporate services.
  • A bachelor's degree in a relevant field.
  • A STEP Diploma in International Trust Management, or currently pursuing the qualification, would be beneficial.
  • A professional qualification with the Corporate Governance Institute (formerly ICSA), or progress towards chartered status, would be advantageous.
  • Strong communication skills, both written and verbal, with previous minute-taking experience desirable.
  • Excellent organisational capabilities and a high level of attention to detail.
  • Familiarity with Viewpoint or similar entity administration software.
  • A professional and client-focused approach, with the ability to work independently, manage multiple priorities and contribute effectively within a team.
