The Executive Assistant supports senior leaders across a fast-growing technology organization focused on cloud infrastructure, developer platforms, and data products. The role manages complex calendars, executive communications, travel, and operating rhythms across distributed teams and time zones.
This role matters because strong execution at the leadership level improves decision speed across engineering, product, finance, and go-to-market teams. The successful candidate will anticipate needs, protect executive focus, and turn ambiguous requests into organized, timely outcomes in a remote-first environment.
Key Responsibilities
- Manage complex calendars across Google Calendar, Slack, Zoom, and multiple time zones, resolving conflicts and protecting priorities
- Coordinate domestic and international travel, including itineraries, visas, ground transportation, and last-minute changes
- Prepare meeting agendas, briefing materials, and follow-up notes; track decisions and action items in Notion, Google Docs, or Asana
- Organize leadership meetings, board-related logistics, team offsites, and customer or investor engagements from planning through completion
- Draft and route confidential correspondence, presentations, and internal communications with sound judgment and consistent attention to detail
- Process executive expenses and invoices through systems such as Ramp, Brex, or Concur; maintain accurate records and follow approval workflows
- Build and improve administrative processes, dashboards, and documentation that help a distributed technology team operate efficiently
- 3-7 years of experience as an executive assistant, senior administrative assistant, chief of staff associate, or similar role supporting senior leaders
- Experience supporting executives in a high-growth technology, software, cloud, AI, or data-focused organization
- Advanced proficiency with Google Workspace, Slack, Zoom, Notion, Asana, and modern expense or travel platforms
- Exceptional calendar management, prioritization, written communication, and follow-through across competing deadlines
- Strong judgment and discretion when handling confidential financial, personnel, customer, and strategic information
- Bachelor’s degree or equivalent professional experience
