Position Summary
Nirvana MedSpa is seeking a highly organized, professional, and proactive Remote Executive Assistant to provide administrative and operational support to company leadership.
The Executive Assistant will manage calendars, coordinate meetings, prepare correspondence and documents, organize information, assist with projects, and help ensure that executive priorities and deadlines are managed efficiently.
This is a full-time remote position for qualified candidates located in United States.
Key Responsibilities
- Manage executive calendars, appointments, meetings, and scheduling.
- Coordinate virtual meetings and maintain accurate meeting information.
- Prepare correspondence, presentations, reports, agendas, and other documents.
- Monitor and organize email communications and administrative requests.
- Coordinate travel arrangements, itineraries, and meeting logistics when required.
- Track deadlines, projects, follow-ups, and action items.
- Prepare meeting materials and take notes when requested.
- Maintain confidential executive and company information.
- Conduct research and compile information for leadership.
- Assist with special projects and administrative initiatives.
- Communicate professionally with employees, clients, vendors, and other stakeholders.
- Maintain organized digital files and records.
- Anticipate administrative needs and proactively resolve routine issues.
- Perform other executive and administrative duties as assigned.
- High school diploma or equivalent required; associate or bachelor's degree preferred.
- 3+ years of administrative, executive assistant, office management, or related experience preferred.
- Strong calendar-management and organizational skills.
- Excellent written and verbal communication.
- High level of professionalism and discretion.
- Strong proficiency with Microsoft Office or Google Workspace.
- Ability to manage multiple priorities and meet deadlines.
- Excellent attention to detail.
- Ability to work independently in a remote environment.
- Strong judgment when handling confidential or sensitive information.
- Experience supporting executives, senior managers, or business owners.
- Experience with virtual meeting platforms such as Zoom or Microsoft Teams.
- Experience preparing presentations and executive reports.
- Strong project coordination and follow-up skills.
- Familiarity with CRM, project-management, or scheduling platforms.
This position is fully remote for eligible employees located in United States. The employee must have a professional and secure home-office environment, reliable internet access, and availability during the company's established business hours.
