Position Summary

Responsible for project management focused on Business Operations for the Health Center Operations and Governance (HCOG) functional area ensuring that relevant projects meet the needs of stakeholders, including internal teammates, funders, health center learners and technical assistance partners.

Key Responsibilities

  • Leads the implementation and execution of assigned Business Operations projects and initiatives, in coordination with the Director.
  • Develop and/or support systems to manage projects that include clear workflows, automation, and reporting dashboards, ensuring that the approach aligns with NACHC’s overall project management approach/systems.
  • Identifies opportunities to improve project management tools, systems, workflows, and functionality and supports implementation of improvements.
  • Set implementation priorities and provide communication and coordination with internal and external stakeholders.
  • Tracks project, grant, funder, and other applicable deliverables, milestones, timelines, and progress; identify risks or delays, escalates issues to the Director, and supports implementation of corrective actions.
  • Use data and analytical tools to monitor outcomes, ensure data accuracy, and report on project status, performance, and lessons learned.
  • Manages assigned project budgets, funding requirements, and operational compliance.
  • Oversee assigned project budgets, manage funding cycles, and ensure that all fiscal operations comply with funding requirements in collaboration with supervisor and other stakeholders.
  • Conduct financial reviews and programmatic audits, identify risks, and recommend actions to supervisor.
  • Analyze and interpret funder requirements and NACHC policies to develop and execute Standard Operating Procedures.
  • Implements and monitors approved process improvements to support sustainable, repeatable, and measurable Business Operations practices.
  • Ensure programs adhere to federal policies, HRSA standards, and other local, state, and federal regulations as applicable.
  • Coordinates internal and external stakeholders and cross-functional project activities.
  • Works within HCOG and with other functional areas to track project requirements and coordinate project management approaches consistent with established NACHC systems and practices.
  • Lead or participate in crossfunctional project teams, assign tasks, and track progress through project completion as applicable.
  • Build and maintain collaborative relationships with NACHC internal and external stakeholders, including funders.
  • Leads the implementation and day-to-day management of procurement, Request for Proposals (RFP)/ Request for Information (RFI), and vendor management processes, in coordination with the Director.
  • Establish and maintain standards, best practices, and templates required to assist Subject Matter Experts (SMEs) in creating RFPs, RFIs, and/or other procurement processes (e.g., mentors, discussion leaders, etc.).
  • Develop organizational and programspecific procedures for reviewing RFPs/RFIs/other procurement, properly organize and maintain vendor records, review materials, and scoring guidance under established best practices and internal policies.
  • Serve as the primary point of contact for procurement implementation and vendorrelated questions. Coordinate internal and external meetings with vendors and maintain the vendor's email distribution list.
  • Contribute to NACHC’s overall programming and objectives.
  • Supports NACHC member engagement, conference programming, crossfunctional teams, and other organizational initiatives as assigned.
  • Work in close coordination and collaboration with NACHC staff, Primary Care Associations, National Technical Assistance Program (NTAP) partners, and other funders/partners as appropriate.

Required Qualifications:

  • Bachelor’s degree in public health, public administration, or a related field required; Master’s degree (MPH or related) preferred.
  • 3 to 5 years of progressive project management experience
  • Proven experience leading and managing projects from initiation through completion
  • Demonstrated proficiency using project management software (Asana, Smartsheet)
  • Familiarity with budgets, timelines, and stakeholder management
  • Prior financial management or budget management experience
  • Knowledge of and experience with complete grants/funder life cycle
  • Knowledge and familiarity with funder and grantee reporting platforms or ability to learn.
  • Strong analytical skills to interpret complex funder requirements, review financial reports and budgets, and diagnose operational problems.
  • Proficiency with data analytics to inform business decisions
  • Ability to summarize key metrics to report the financial progress status of projects to key stakeholders.
  • Demonstrated competence using Microsoft Office
  • 10% travel to NACHC conferences and events

Key Skills and Competencies:

  • Experience with CRM systems and databases preferred
  • Project Management Professional (PMP) preferred
  • Knowledge of process mapping and documentation, utilizing flowcharts, diagrams, and process models
  • Strong organizational and timemanagement skills, with the ability to plan, prioritize, and execute work efficiently.
  • Excellent written and verbal communication skills, effectively conveying information to various stakeholders.
  • Ability to manage multiple priorities and deadlines in a fastpaced environment.
  • Applies strong problemsolving and decisionmaking skills to address challenges and implement effective solutions.
  • Identifies potential project risks and proactively develops mitigation strategies to minimize impact.
  • Engages stakeholders effectively and resolves conflicts collaboratively to maintain project momentum and alignment.
  • Maintains a high level of confidentiality, as well as strong decisionmaking ability and attention to detail.
