Position Overview:
We are seeking a Document Control Assistant III to support project management and construction teams involved in building gas facilities and performing pipeline and valve replacement projects across Michigan. The ideal candidate will be highly organized, detail-oriented, and experienced in managing and tracking project documentation in a regulated environment.
Employment Type: Contract through 12/01/2026 (Possible Extension)Location: Michigan (Fully Remote – Must reside in Michigan)Schedule: Monday – Friday, 7:00 AM – 5:00 PM (hours may fluctuate; occasional overtime up to 50 hours/week)Meetings/Travel: Monthly in-person meetings in Jackson, MI; occasional site visits for audits or project reviewsStart Date: Early JanuaryInterview Timeline: First week of DecemberKey Responsibilities:
- Assist Project Managers with collecting, tracking, and managing project documentation from multiple stakeholders including Engineering, Operations, and Field Crews.
- Facilitate documentation flow, ensuring completeness, accuracy, and compliance with regulatory and internal standards.
- Prepare for and participate in audits by maintaining organized, up-to-date records.
- Support PMs in conducting project meetings, preparing agendas, and recording meeting minutes.
- Collaborate with Construction Management to ensure all project documentation is finalized and audit-ready.
- Manage end-of-project documentation such as redlines, compliance forms, and closeout deliverables.
- Enter and maintain project data in document control systems, including Unifier and other project management tools.
- Monitor document quality and ensure readiness for state audits (specifically by the State of Michigan).
Required Qualifications:
- 3+ years of experience in document control, project coordination, or related administrative support roles.
- Strong organizational skills and attention to detail.
- Experience managing documentation for large projects (engineering, construction, or utilities preferred).
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams).
- Excellent written and verbal communication skills.
- Ability to work independently while collaborating with cross-functional teams.
Preferred Qualifications:
- Familiarity with Unifier or similar project management/document control software.
- Understanding of project management terminology (e.g., project charters, business cases, schedules).
- Prior experience in the utility or energy sector, particularly with gas facility projects.
