As Xpanner scales rentals and sales of our X1 retrofit kits and machines across North America, we’re looking for a Sales Operations Specialist to be the operational engine behind our growing US sales motion. This role owns the back-end execution of the sales and rental lifecycle-from order intake and contract setup through ERP execution and AR coordination. Serving as the critical liaison between Sales, Accounting, and our customers’ AP teams.
This is a high-impact, build-from-the-ground-up role for someone who loves bringing structure to fast-moving operations and turning a growing book of complex rentals into a clean, scalable system.RESPONSIBILITIES:
- Own the end-to-end sales and rental order lifecycle: intake, documentation, contract setup, system entry, billing milestones, and close-out.
- Build, execute, and maintain sales agreements, rental agreements, MSAs, SOWs, and related contract documentation in coordination with Sales and legal.
- Serve as the dedicated administrator and process owner for the sales/rental functions inside our Oracle ERP-configuring, optimizing, and creating workflows that fit how the sales team sells.
- Manage a high-volume, complex book of rental contracts (kits and machines) running concurrently across multiple projects with staggered start dates, billing schedules, and durations.
- Act as the primary liaison between Sales and Accounting-reconciling orders, invoices, and payment status; resolving discrepancies; and ensuring clean revenue recognition.
- Work directly with customer accounts payable contacts on invoice questions, payment follow-up, and other back-end account management as needed.
- Execute standard inside sales responsibilities: qualifying inbound leads, supporting outbound campaigns, drafting quotes and proposals, scheduling demos, and supporting Account Executives through the sales cycle.
- Maintain CRM hygiene and build reporting that connects pipeline, ERP, and AR data into a single source of truth for sales leadership.
- Identify gaps and friction points across the sales-to-cash workflow, then propose and implement scalable fixes.
- Partner with Finance to forecast rental revenue, track equipment utilization, and report on contract health.
REQUIREMENTS:
- 3+ years of experience in sales operations, order management, contracts administration, inside sales, or a similar back-office sales/finance role.
- Hands-on experience with an ERP system (Oracle strongly preferred); comfort configuring, querying, and optimizing ERP workflows for non-technical end users.
- Strong working knowledge of order-to-cash processes, including invoicing, AR, and basic revenue recognition concepts.
- Excellent attention to detail and the ability to manage many parallel contracts, deadlines, and billing milestones without dropping anything.
- Strong written and verbal communication-comfortable speaking directly with external customers, accounts payable contacts, and internal Accounting and Sales stakeholders.

PREFERRED QUALIFICATIONS
- Direct experience administering Oracle ERP (Oracle Fusion, NetSuite, or Oracle EBS) within a sales or finance function.
- Experience supporting an equipment rental, leasing, or capital-equipment sales business.
- Familiarity with contract lifecycle management (CLM) tools and CRM platforms (HubSpot, Salesforce, etc.).
- Background in construction tech, industrial equipment, robotics, or solar.
- Bachelor’s degree in Business, Finance, Operations, Supply Chain, or a related field.
