The Canberra Alpine Club is seeking a professional, organised and personable Administration & Bookings Officer to become the first point of contact for our members and the public.
With over 600 members and two accommodation lodges in the Snowy Mountains, our club operates year-round. This is a dynamic, hands-on role suited to someone who thrives on detail, enjoys working with people, and can juggle multiple priorities in a busy environment.
About the role
In this pivotal position, you will manage the day-to-day administration of bookings and membership services, ensuring the smooth operation of club activities across both summer and winter seasons.
Working closely with the Club Committee, you will support members, maintain accurate systems, and contribute to the efficient running of the Club.
Key responsibilities
- Manage accommodation bookings via the Club’s online system, including member support
- Maintain accurate member records, including invoicing and subscription management
- Track and update membership data (e.g. waiting lists, work party attendance, lodge usage, lockers)
- Support new member applications and provide information to the Committee
- Prepare professional documents, reports and communications using MS Office
- Handle confidential information with discretion and integrity
- Prepare monthly reports for the Committee, including membership updates and lodge usage statistics
- Prepare monthly financial reports for the Treasurer, including payments made for subscriptions and bookings, reconciliation with bank accounts and credit card payments. Enter manual journals in financial management system.
About you
You are a highly organised and proactive professional who enjoys working independently while delivering excellent service.
You will bring:
- 5+ years’ experience in office management, administration, or executive support
- 3+ years’ experience in book keeping
- Advanced MS Office skills (Word, Excel, Outlook)
- Confidence learning new systems (booking, membership or accounting platforms)
- Strong organisational and multitasking abilities
- Excellent written and verbal communication skills
- A customer-focused mindset and professional approach
- High attention to detail and a commitment to follow-through
- A collaborative, team-oriented attitude with initiative
