Aircraft Leasing Business Operations Specialist
We are supporting a specialist aviation advisory platform in the search for an Operations Specialist to join its team in a fully remote role. This is a broad, hands-on role in a small, growing company suited to an organised and commercially minded professional who enjoys working across multiple workstreams. The role will suit someone who is comfortable taking ownership of day-to-day middle-office operations in a growing, entrepreneurial environment. The successful candidate will work closely with senior leadership and external advisers to ensure the smooth running of core business processes.
Responsibilities
- Take ownership of day-to-day finance and operational processes, ensuring key activities are delivered efficiently and deadlines are met. Lead the set-up and maintenance of tax registrations across group entities, including VAT, corporation tax and payroll registrations with relevant authorities.
- Coordinate bookkeeping, bank reconciliations, cash management, accounts payable, invoicing, fee tracking and expense administration.
- Support the preparation of monthly management information, budgeting inputs, cash reporting, fee pipeline updates and other business reporting.
- Maintain and organise commercial and corporate documentation, including engagement letters, NDAs, mandate letters, service agreements and intercompany agreements with group companies.
- Liaise with external accountants, payroll providers, tax advisers, registered office providers and other professional advisers on accounting, payroll, tax, filing and administrative matters. Manage VAT compliance processes, including periodic return preparation and submission, input credit records and coordination of VAT reclaims across entities.
- Maintain a corporate and compliance calendar covering key filing deadlines, renewals, reporting dates, insurance renewals and other recurring obligations.
- Support advisory and transaction-related activity through document management, stakeholder coordination, process tracking, signature management and closing administration.
- Manage general operational administration, including meeting preparation, action logs, software subscriptions, onboarding support and vendor coordination.
- Identify opportunities to improve internal processes, workflows and reporting capabilities, including the effective use of AI tools and technology.
Requirements
- Proven experience in finance operations, business operations, finance administration, office management or a similar middle-office role.
- Strong organisational skills and the ability to manage multiple priorities in a remote working environment.
- Good understanding of invoicing, reconciliations, expenses, cash management and general finance administration.
- High attention to detail, with a practical and proactive approach to problem-solving.
- Comfortable coordinating with external accountants, payroll providers, tax advisers, legal advisers and other service providers.
- Commercially minded and comfortable working in a small, growing business where responsibilities may be broad.
- Experience supporting corporate administration, reporting calendars, documentation or governance-related processes would be helpful.
- Experience using AI productivity tools, including Claude or similar platforms, would be advantageous.
- Aviation, aircraft leasing, advisory or financial services experience would be helpful, but is not essential.
